This policy outlines how we collect, store, use, disclose, quality assure and secure personal information, as well as your rights to access or correct your personal information.
Our personal information handling practices
If you are a Hello Uni customer or potential customer, we will collect and hold personal information about you, such as your name, address and contact information (including email address). We collect this information to provide you with our products and services and with information about our products and services. This includes administering your account with us, customer service and providing any information which you have requested. We may also seek other information from you from time to time. When we use personal information in this way, we will give you the option to decide whether or not you wish to receive information about our products and services and related information. If you do not wish to receive product information, you will need to email us informing us of this and we will comply with your wishes promptly. Hello Uni will also collect additional information from anyone who deals with us as a result of use of our websites. This additional information may or may not identify you. Information collected through the websites of Hello Uni will include the information which you voluntarily provide. This may include information provided as part of a customer service enquiry or a registration form. Some pages may require you to provide your username and login. The additional information collected online may also include the type of your Internet browser, operating system, address of the referring site and IP address. We may also collect information about the use which is made of our website for statistical purposes. If we do so, de-identified information will be used. We only collect personal information where that information is reasonably necessary for, or directly related to, one or more of our functions. Generally, we will only collect sensitive information (such as financial information) if you consent and it is reasonably necessary for, or directly related to, one or more of our functions. Sometimes we may collect sensitive personal information without your consent, such as when it is required or authorised by a law, or court or tribunal order. This includes express statutory provisions, as well as the more general application of the common law. We will not collect any personal information if we do not need it. To achieve this, we will mainly use privacy collection notices on our forms and online portals.

We aim to protect your personal information from loss, unauthorised access, use, modification or disclosure, and against other misuse. Among other things, we safeguard our IT systems against unauthorised access, and ensure that paper-based files are secured. We also ensure that access to your personal information within our systems is only available to our staff who need to have access in order to do their work. We will aim to provide timely advice to you to ensure you are able to manage any loss—financial or otherwise—that could result from the breach. When the personal information that we collect is no longer required, we delete or destroy it in a secure manner, unless we are required to maintain it because of a law, or court or tribunal order.

We will take reasonable steps to ensure that the personal information we hold is safe and secure, accurate, up-to-date, and complete. This may include correcting your personal information where it is appropriate to do so. Accessing and correcting your personal information You may request to access personal information we hold about you and request corrections to any personal information that we hold about you if you think the information is inaccurate, out-of-date, incomplete, irrelevant or misleading. When we can refuse a request for access or correction
We reserve the right to decline your request to access, or correct, personal information that we hold about you under certain circumstances. This includes situations where we are authorised or required to refuse access. Where we refuse to give you access, we will give you written notice of the reasons for refusal and the mechanisms available to you to dispute that decision.

Access to this website is strictly subject to the terms and conditions outlined in the agreement below. In this agreement, "we" and "us" refer to Hello Uni and “the Website” refers to www.HelloUni.com.au.
The products and services displayed on this website are limited to persons who are eligible to enter into contracts under applicable laws. If you do not meet these requirements, you cannot purchase goods or services on our website. All materials appearing on this site, including site design, text, graphics, icons, interfaces, and the selection, assembly and arrangements are owned or licensed by Hello Uni. Hello Uni reserves the right to reject your application to become a registered user. Hello Uni also reserves the right to suspend user privileges and block access of any registered user who violates this User Agreement. Use of this website implies your consent to this Agreement. If you do not agree with any provisions in this Agreement, you must discontinue use of this site immediately. This website may have links to other third-party websites which we have no control over and as such we are not responsible for their content. Hello Uni's packages are for purchase by bona fide applicants only, i.e. those preparing for and sitting UMAT and intending to pursue a career in medicine and other courses requiring UMAT. Invalid enrolments will be cancelled without refunds.
2. Refund/Return Policy
Returns, refunds or exchanges will not be provided unless there are exceptional circumstances and the decision whether to provide a return, refund or exchange is solely at our discretion. In any situation (whether they relate to goods or services), a request in writing will need to be provided to Hello Uni stating your name and contact details, the full history of the transaction in question, a detailed list of reasons why you are requesting a refund/exchange, the contact person that you have dealt with from Hello Uni, copies of all relevant documents related to the situation and any other documents and information that we deem to be relevant. Requests for refunds will only be accepted if a request is made in writing (by email or letter) within one week of the date of purchase. All requests for refunds will incur an administration and banking surcharge of at least 20%. Credit may be given, at our discretion, to other Hello Uni courses or products after cancellations. 'Exceptional circumstances' include if the goods or services are seriously defective. Evidence will need to be provided as to the nature of the defect. The appropriate remedy may be provided depending on the nature of the defect.
3. Fees and Currency
Fees must be paid in full prior to the commencement of the course. Prices are subject to change without notice. All prices on the website are in Australian Dollars (AUD) and all purchases will be made in Australian Dollars, unless explicitly stated otherwise.
4. Delivery Policy
Hello Uni's goods will be made available online to you via our Learning Management System. You will be responsible for providing the correct email address and Hello Uni will be in no way held responsible if the email address and physical address provided to us is inaccurate, outdated or incorrect. Hello Uni's courses follow a time-based program and must be utilised within the time allotted. You will have access to the Learning Management System until the next UMAT date (the exam occurs yearly in July), at which time access to your UMAT resources will be suspended. Requests for postponement must be made in writing to Hello Uni. Courses may not be postponed if enrolment has already begun and may not be postponed for longer than 12 months. While Hello Uni will ensure that servers and back-up servers have more than sufficient capacity to handle demand on the Learning Management System, due to factors beyond our control, the Learning Management System may occasionally not be accessible. Hello Uni cannot be held responsible for any access issues experienced, particularly during the few days before the UMAT. Further, since UMAT is not a test that can be crammed for, students are urged to practice regularly over a period of time.
Course schedules and locations are subject to change and/or cancellation. Hello Uni will notify you of any changes or cancellations and available alternatives.
5. Use of this website
You will not use the Website (including the Learning Management System):
All content included on the Website is the sole property of Hello Uni and is protected by Australian copyright and other intellectual property laws. All material is meant for personal use only. Except where necessary for and incidental to viewing the material on this Website via your web browser, or as permitted under the Copyright Act 1968 (Cth) or other applicable laws, any use of content other than in accordance with this Agreement, including the reproduction, modification, re-distribution, transmission, onselling, auctioning, republication, sharing, display, for private coaching/tuition or performance either during or after your enrolment is strictly prohibited. Any infringement of these rules will result in disciplinary and legal action including but not limited to any or all of the following:
Unless otherwise explicitly stated, the purchases of Hello Uni's products are for a single licence for the exclusive use of the purchaser only. Enrolment cannot be shared, re-sold, auctioned or transferred to another person in any manner. Any activity that does not comply by these terms will be deemed a breach of copyright.
You may terminate your registration on our website at any time by providing written or email notice to Hello Uni with all appropriate details (including your password). Hello Uni reserves the right to terminate your registration at any time and after termination, all applicable provisions of this agreement will survive. If you would like to be removed from our mailing list, you may do so at any time by clicking on the link to unsubscribe in any of our mailouts.
You agree to defend, indemnify and hold harmless Hello Uni and any of its directors, officers, agents and employees from and against any and all third party claims and all liabilities, assessments, losses, costs or damages resulting from or arising out of or related to (i) any breach by you of any term or condition of this Agreement or (ii) your engagement in any transactions on or use of our web site including, without limitation, any disputes between you and another user or any other party and any other claims arising out of or in any way connected with any transactions conducted via our web site. If any such action shall be brought against any indemnified party, they shall notify you in writing and you shall assume and control the defence and settlement of each such action, including the employment of counsel and payment of all expenses. Any indemnified party shall have the right to employ separate counsel in any such action and participate in the defence, at their own cost unless otherwise agreed to by you.
10. Limitation of Liability
Hello Uni shall not be liable to you or any third party for any direct, special, indirect, consequential or incidental damages (or any loss of revenue, profits or data) incurred arising out of the use or the inability to use this website, or out of any breach of a representation of warranty, regardless of the type of claim or the nature of the cause of action, even if we have been advised of the possibility of such damage or loss.
Our liability for damages, for any cause or based on any matters arising from this agreement, shall be limited to the total amount paid in during the preceding twelve months of service by you to Hello Uni under this agreement. This may, at our option, take the form of re-provision, repair or payment of the cost of providing the goods and/or services in question.
Access to the Hello Uni website and its content, products and services are provided "as is." The contents of the Hello Uni web site are distributed to you without any warranty of any kind. Hello Uni, its directors and employees, disclaim any and all warranties, express or implied, including, without limitation, any implied warranties of merchantability or fitness for a particular purpose concerning or relating to the information provided on the Hello Uni web site. Use of the site and its contents are at your risk. We shall not be held liable for any damages you may incur from your use of this site. Although Hello Uni makes every reasonable effort to do so it makes no representations that the information presented is accurate, complete or timely. Accordingly, we will not be liable to you or any other person or organisation seeking relief through you for any decision made or actions taken in reliance on any information presented by Hello Uni that results in any indirect, special, punitive, consequential, incidental loss or damage of any nature arising from any cause whatsoever (including, but not limited to, trading losses, loss of anticipated revenue, personal injury, or other indirect loss or damage), even if Hello Uni has been advised of the possibility of such damages.
Hello Uni shall not be responsible for any errors or omissions contained in the website or any other forums, whether printed or oral, and reserves the right to make changes to its website content and courses without notice.
Indicative scores and rank provided by Hello Uni for all of its courses are based upon our own algorithms and do not reflect the ranking procedure used within the UMAT, nor any other test administered by a third party. Ranks provided are not a guarantee of any particular mark on the UMAT, nor any other test. Hello Uni shall not be held liable for any claims arising from your performance in any assessment administered by a third party body.
Hello Uni has no association or affiliation with the Australian Council for Educational Research (ACER), any university or any other UMAT preparation organisation. Enrolment with Hello Uni does not represent or include an application to sit the UMAT. Registration to sit UMAT is your own responsibility.
12. Grievance, complaints and appeals
We welcome your feedback and endeavour to deal with complaints efficiently, effectively and confidentially. You may submit complaints or comments via email firstname.lastname@example.org. If we are unable to resolve the grievance, it will be referred to an appropriate external party with expertise in the area concerned. You will be given an opportunity to formally present your case in writing to the independent mediator. You will be provided with a written statement of the outcome of the appeal, including reasons for the decision.
